What we collect
To run the service we collect:
- Order information: the email and name you supply at checkout, the manuscript and assets you upload, and your formatting preferences.
- Payment metadata: Stripe's payment identifier and the amount charged. We do not see or store your card details; those live with Stripe.
- Operational data: server logs (IP address, request path, timestamp) used for debugging, security, and abuse-prevention.
For our free in-browser tools, calculations run entirely in your browser. Tool inputs are not transmitted to our servers.
What we don't do
- We don't sell your data.
- We don't share your content with anyone outside our delivery pipeline.
How we use what we collect
We use your information to deliver the order you placed, send you the delivery email, process payment, and respond to support requests. We use server logs to keep the service running and to investigate security incidents.
Service providers
We use Stripe to process payments; your card details go to Stripe and never to us. We also use third-party providers for hosting, email delivery, and backups. These providers process data only as needed to deliver our service.
How long we keep things
- Uploaded manuscripts and delivered files: deleted 90 days after delivery. Save a copy when you receive the delivery email. We are not a long-term storage service.
- Download links: expire when the underlying file is deleted (90 days after delivery).
- Order records (transaction details): kept for 7 years to meet tax and accounting obligations. Personal details are removed from inactive accounts after 2 years.
- Database backups: encrypted, 30-day retention.
- Server logs: 30 days for security investigation.
- Earlier deletion: email hello@formatli.com and we'll process within 30 days.
Your rights
You can request a copy of the data we have on you, ask us to correct inaccurate data, or ask us to delete your account and associated data. Email hello@formatli.com to make any of these requests. Note that we may retain limited information needed to comply with tax and accounting obligations even after a delete request.
Cookies
We use a session cookie to keep you logged in and a security cookie to prevent cross-site request forgery. We may use a privacy-respecting analytics service that doesn't track individuals across sites or use third-party cookies.
EU/UK users
Our infrastructure is hosted in the United States. If you access the Service from the EU or the UK, your data is processed and stored in the US. Our lawful basis for processing is performance of the contract you entered when placing an order. EU and UK users have the right to access, correct, port, or delete their personal data, to object to processing, and to lodge a complaint with their local data protection authority. Changes
If we materially change this policy we'll update the "Last updated" date at the top and, for active customers, notify you by email.
